The PR Account Coordinator generally provides assistance to the entire account service team he / she works on. Account Coordinator reports directly into the PR Account Manager in the day-to-day management of accounts. Everything the Account Coordinator does impacts work delivered to clients and is a reflection of our client. Follow through and delivery in a timely manner is imperative.



Job Requirements:

OVERALL, RESPONSIBILITIES INCLUDE:

•Provides administrative assistance to PR Manager on day-to-day client activities, including responding to client phone calls and emails to ensure continued progress of client workflow.

•Stays aware of client activities to provide backup when PR Manager is unavailable.

•Gathers and assembles background information and research as needed by the PR Manager in development of communication documents, media pitches, marketing planning, etc.

•Updates and submits client PR Tracker weekly.

•Develops client news clips and uploads to agency portal/drive.

•Provides input in planning stages as requested by PR Manager.

•Assists in processing job numbers, making final copy revisions, (except billing, production quotes/purchase orders, media plans), and preparing the above for client presentations.

•Assists PR Manager with Client media communications training sessions; includes scheduling and preparation and distribution of presentation materials

•Consults with Media and Account teams on Client added value and integration opportunities; and required PR support.

•Responsible for working with HUB to make sure project deadlines will be met and that all client and public-facing documents are proofread prior to distribution.

•Leads stand up meeting with Account Manager and PR Manager.

•Assists in campaign implementation by opening jobs in Function Point, placing requests / revisions into FP, closing jobs in FP, approving estimates in FP, making sure time under jobs matches estimated amount, and ensuring deadlines are met.

•Updates and maintains the following reports: Client Status report, Creative Jobs/Billing report, and Milestone Calendars.

•Reconciliations upon receiving accounting's emails with request for POs to client.

•Facilitates meeting requests and coordinates with schedules of all agency or client personnel to be in attendance

•Assists in prepping word documents for Client reviews

•Handles paperwork and maintains digital files and hard copy on all correspondence, approvals, copy, forms/documents, supplies for daily processing and tracking of account service work, etc.

•Maintains client reference notebooks and/or digital archives for all assigned accounts, detailing past work and work-in-progress, and all pertinent information needed for accurate proofreading and meeting of client standards.

•By Account Manager or PR Manager request, takes minutes at meetings, prepares and distributes contact reports (call reports), client hot lists, Status Call recaps, etc.

•Makes sure all projects proceed according to plan and deadlines, drawing attention of Account Manager or PR Manager to potential problems before they occur.

•Proofreads copy, artwork, client presentations, agency and printers' proofs as requested; sees that all work completes the standard agency approval process before being reviewed by clients or turned over to suppliers.

•Acts as host/hostess for visiting clients.

•Assist Account Management team with requests such as gathering competitive ads for Client reports.
