SUMMARY: The Payroll/Accounting Specialist supports the Accounting function by processing bi-weekly payroll; posting journal entries to accurately record payroll and accruals and reconciling various payroll GL accounts and schedules. The position will perform various Accounts Receivable and Accounts Payable functions, as well as monitor time entry daily in time and attendance system, creating and running reports as needed. Additionally, the Payroll/Accounting Specialist will support Human Resources with data entry of temporary new hire/terminations in Payroll system/ Time and Attendance system.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

• Process bi-weekly payroll and prepare/post journal entries to accurately record payroll and or accruals timely and accurately

• Reconcile various payroll GL accounts and schedules

• Monitor time entry for missed punches, correct time entry daily

• Review overtime reports and report to management as applicable

• Monitor Points for employees in accordance with Attendance Policy

• Ensure that weekly temp timesheets are produced, signed and faxed to appropriate temp service

• Run reports as needed in Nova Time system

• Prepare and process daily electronic bank deposits

• Post and balance deposits to customer accounts

• Research and reconcile customer account balances for short payments

• Support Quality Service Team to maintain timely resolution of customer claims

• Maintain accurate and timely posting and coding of customer credits

• Support EDI department to reconcile and/or process required transactions to meet deadlines

• Maintain accurate records

• Validate, code and accurately record vendor invoices compliant with audit standard practices

• Match, reconcile and post Purchase Order vouchers

• Reconcile and maintain various GL accounts and schedules

• Data verification of Temporary New Hires & Terminations into Paylocity & Nova time systems

• Run reports as needed in Paylocity system

• Maintain confidentiality and to exercise prudent judgment when discussing confidential matters

• Perform general office duties and cross training as required to support all departmental functions and requirements

• Develop expertise in the use/management of:

o Timekeeping system (Nova Time)

o Payroll/HRIS (Human Resources Information System)- Paylocity

o Accounting system (P21)

o Payroll Reporting system (Reportwriter)

o Develop reports appropriate to supporting business metric requirements

• Other duties may be assigned

EDUCATION and/or EXPERIENCE and OTHER SKILLS & ABILITIES:

• Bachelor's degree (B. A.) or equivalent from two-year College or technical school OR 3+ years of related experience and/or training OR equivalent combination of education and experience

• Must be PC literate (MS Office) and have strong data entry, organizational and interpersonal skills

• Strong experience in excel (v lookups, pivot tables) preferred

• Ability to read, analyze and interpret general business reading and/or training materials as well as federal/state regulations

• Ability to write reports, business correspondence, and procedures as needed

• Ability to effectively present information and respond to questions from groups of managers, clients, customers and/or the general public

• Ability to work with mathematical and reasoning concepts such as:

o Probability and statistical inference

o Ability to apply concepts such as fractions, percentages and proportions to practical situations

o Ability to define problems, collect data, establish facts, and draw valid conclusions; ability to interpret an instruction in mathematical or diagram form and deal with several abstract and concrete variables
