Position Summary
We're looking for a detail-oriented Executive Assistant to perform various tasks, including, supporting the President and executive team members, maintaining employee records, processing payroll, and providing day-to-day administrative support to the HR function.
Key Responsibilities
Administration
- Maintain accurate employee files
- Support onboarding: offer letters, new-hire paperwork, I-9 verification, background checks, and orientation scheduling
- Administer benefits enrollment, changes, and terminations
- Track PTO, leave requests, and attendance; and other documentation
- Process offboarding, including final pay calculations and COBRA notifications
- Prepare agendas, presentations, reports, and other business documents.
- Support special projects by conducting research, gathering information, and monitoring deadlines.
Compliance & Support
- Help ensure compliance with prevailing wage requirements
- Support audits (payroll, 401(k), workers' comp) by pulling documentation and reports
- Maintain strict confidentiality of employees and compensation data
- Assist with HR projects, handbook updates, and recurring reporting as assigned
Payroll
- Process weekly payroll for employees
- Collect, review, and verify timesheets; follow up on missing punches, overtime, and approvals
- Enter and audit payroll changes including new hires, terminations, pay rates, deductions, garnishments, and direct deposit updates
- Respond to employee questions about pay, deductions, and PTO balances
Qualifications
Required
- High school diploma or equivalent
- 1-3 years of payroll, HR administration, bookkeeping, or comparable clerical experience
- Working knowledge of payroll concepts: gross-to-net, overtime, pre- and post-tax deductions
- Proficiency with Microsoft Office
- Demonstrated accuracy with numbers and data entry
- Proven ability to handle confidential information with discretion
Strong time-management skills and an ability to organize and coordinate multiple concurrent projects Flexible team player, willing to adapt to changes and unafraid of challenges
Preferred
- Associate or bachelor's degree in human resources, accounting, business, or a related field
- Hands-on experience with ADP, NetSuite, and or Mitter Software
- Multi-state payroll experience
