Scheduling Coordinator


We are seeking a highly organized Scheduling Coordinator to manage staff and provider schedules within a busy outpatient healthcare environment. The Scheduling Coordinator is responsible for developing and maintaining accurate schedules, coordinating staffing coverage, processing time-off requests, and ensuring compliance with organizational policies and labor guidelines. The ideal Scheduling Coordinator is detail-oriented, proactive, and able to adapt quickly to changing staffing needs while supporting efficient clinic operations.

Schedule

  • 8-hour shifts between 8:00 AM and 8:00 PM
  • One weekend day per month

Key Responsibilities

  • Develop and maintain comprehensive staff and provider schedules to ensure appropriate clinic coverage
  • Enter, update, and modify schedules using UKG (Kronos) to reflect staffing changes
  • Monitor staffing levels and respond promptly to call-outs, emergencies, and operational needs
  • Coordinate weekend and holiday schedules while maintaining fair rotation practices
  • Process employee time-off requests and arrange coverage as needed
  • Track attendance, availability, and staffing trends, reporting concerns to leadership
  • Collaborate with Human Resources and Payroll to reconcile schedules and time-off records
  • Perform routine schedule audits to ensure accuracy and compliance with organizational policies and labor regulations
  • Prepare staffing reports using UKG, Microsoft Excel, and other reporting tools
  • Recommend workflow and scheduling process improvements based on operational data
  • Perform additional administrative duties as assigned

Required Qualifications

  • High school diploma or GED
  • Experience using Epic or FAST
  • Minimum of 1 year of recent experience in an outpatient clinic or medical office
  • Ability to read, understand, and respond to detailed written and verbal instructions

Preferred Qualifications

  • Two or more years of recent experience with large-scale staff and provider scheduling
  • Certification in healthcare administration or scheduling
  • Knowledge of medical terminology
  • Experience using UKG (Kronos)
