Accentuate Staffing is currently recruiting for a Customer Service & Order Processing Representative for a non-profit in North Raleigh. This role will ensure customer satisfaction through accurate order entry, efficient processing, and exceptional service. This position is responsible for receiving and expediting customer orders, maintaining accurate records, coordinating with manufacturers' representatives, and ensuring timely follow-up on all transactions. The role also supports billing, purchasing, and customer data management while promoting strong customer and vendor relationships. Responsibilities: Order Processing:Accurately enter stock, non-stock, and direct-ship customer orders. Issue debit and credit memos as needed. Follow up, expedite, and reconcile order discrepancies to ensure timely completion and customer satisfaction. Billing:Verify vendor invoices for pricing, quantity, and charges against purchase orders. Coordinate with Accounting to process invoices and support shipping feedback for invoicing customers. Review invoice edit reports for accuracy. Purchasing:Request and evaluate vendor quotations for materials such as poles and transformers. Place purchase orders in accordance with established procedures. Resolve pricing or delivery discrepancies with vendors to ensure order accuracy. Records Management:Maintain organized and accessible customer files (open and closed) for reference and auditing purposes. Manage and store computer-generated reports and documentation systematically. System & Data Maintenance:Submit and monitor computer processing jobs and manage print queues. Verify completeness and accuracy of reports before distribution. Maintain inventory of necessary forms and supplies. Troubleshoot and address processing interruptions as outlined in procedures. Customer & Item Master Maintenance:Set up new customer accounts and stock items. Update existing customer and product information as needed. Customer Service:Respond promptly and professionally to customer inquiries. Provide accurate information and proactive follow-up to ensure excellent service. Support the Director of Sales on special projects as assigned. Requirements: Education:High school diploma or equivalent required; business coursework preferred. Electronic data processing training or equivalent on-the-job experience. Experience:Minimum 1 year in a customer service or public-facing role. Order entry experience with electronic data processing systems preferred.
