The Administrative Assistant's primary role is to assist the Project Manager with the completion of all required administrative tasks required to complete a successful, safe, organized, timely, and profitable project. The Administrative Assistant's primary focus will be satisfying the contractual and/or project-specific requirements set forth by RRCI Company's clients with a steadfast commitment to interdepartmental collaboration, policies, procedures, and accuracy.


The Administrative Assistant reports to the Project Manager. The Administrative Assistant will also be responsible for project-specific tasks as assigned by the Project Manager for given projects as well as specific tasks as directed by the Sales, Estimating, Production, and Accounting Departments. The Administrative Assistant will have a linear relationship with the CAD & Submittal Administrator and collaborate on project details from time to time.


The Administrative Assistant will be required to attend Hand-Off Meetings, Preconstruction Meetings, Post construction Meetings, Project Manager Meetings, Production Meetings, Project Specific Meetings as required (on-site and off-site) as well as Rackley Roofing Company, Inc. companywide meetings.

ROLE AND RESPONSIBILITIES

Job Start

Handoff Meeting & Preconstruction Meeting

  • Review the Temp. Electronic Job Folder prior to the meeting for completeness and assist the Estimator with transferring data if required so that the job folder is 100% ready for review at the meeting
  • Build the Physical Job Folder
  • Author meeting minutes and action item lists and distribute to all responsible parties
  • Review contract documents with the Estimator, Project Manager, CAD Department, & VP of Operations for the understanding of what is required by the Assistant Project Manager for his or her duties.
  • Fill out Job Start documents and distribute to required parties
  • Activate About Time as determined in the meeting.

Dataforma Project Setups

  • Update project status
  • Input alternate job number
  • Input contract value
  • RRCI Team Relationship Associations

Subcontracts

  • Review requirements with the Project Manager
  • Compile required documents as required
  • Confirm if a Master Agreement is in place
  • Review insurance
  • Work with Project Manager on authoring the Work Order or Subcontract Document
  • Track document for signature
  • File and process as required

Project Duration

RFI

  • Completion of Daily Reports that are submitted to the customer.
  • Coordinate the scheduling of warranty inspections.
  • Assist Project Manager and/or Estimator with authoring, issuing, and processing of RFIs
  • Tracking RRCI RFIs in timberline
  • Filing RFI documents as required in the Electronic and Physical Job folder
  • Transmitting RFI information to all required parties as needed

Purchasing

  • Assist Estimators and Project Managers with all purchasing, pricing back up, and invoice approval as required.

Meeting Attendance

  • Attend all required meetings and provide meeting minutes/notes to all essential parties
  • Update all required forms for RRCI Company meetings and provide meeting minutes

Jobsite Visits

  • Attend all required job site visits and provide Daily Reports to all essential parties

Job Folder Maintenance & Updates

  • Continuously work with all departments to update and organize the Electronic & Physical Job Folder

Project Closeout

Warranties

  • RRCI Company Contractor Warranty (Corporate, Contract, or Specification)
  • Manufacturer Warranty Requests and Acquisition
  • Sheet Metal Data Collection and Requests
  • Specialty Warranty Documents
  • As-Built Document Request and Compilation

Dataforma

  • Change status to complete
