Administrative Assistant II

Job Title: Administrative Assistant

Location: Great Falls, MT 59404

Expected Duration: 7+ Months contract

Shift: 8 am to 5 pm

Job Responsibilities:

  • Facilitate meetings and events 25%

* Plan and prepare conference rooms to ensure all needed materials are present and functioning

* Coordinate lodging and transportation reservations with guests and visiting employees

* Build meeting agendas with guests and visiting leaders

* Research and arrange catering services

* Prepare and offer a variety of hospitality for the office, especially during events

* Offer Wi-Fi access and AV support in conference rooms

Professional administrative support of facility activities 50%

* Purchase and manage supply inventories: office, breakroom, PPE, and other frequently used items.

* Manage incoming mail, packages, and freight

* Maintain shipping accounts and arrange outgoing shipments

* Participate in committees such as safety and engagement

* Actively build and maintain a positive team culture

* Perform duties as assigned with interruptions from outside visitors, vendors, deliveries, and requests from team members

* Assist the various teams at the site with printing and organizing of materials

Oversee safety and site security 25%

* Manage safety records from monthly safety meetings including meeting minutes and follow up action items

* Complete regular facility walk-throughs to facilitate safe efficient operations

* Assist with contractor supervision and provide safety documentation and training

* Issue and track key fobs for facility access

* Track and update contractor insurance records

Required:

* Minimum of 1 year administrative experience

* Proficient in Microsoft Office; emphasis in Excel and Outlook

* Excellent interpersonal and communication skills, self-motivated and attentive to detail

* Strong problem solving, decision making, and organizational skills

* Flexible hours occasionally to support specific events

* Must be legal to work for in the United States

Preferred:

* Experience with Skype and/or other teleconferencing and AV systems

* Familiarity with agriculture and rural communities

* Clean driving record to occasionally drive company vehicles
