Responsibilities

We currently have an exciting opportunity available for an experienced Administrative Assistant II who will support our Emergency Medicine / Hospitalist Medicine department at OU Health's University of Oklahoma Medical Center and OU Edmonds Emergency Department.

This position must be locally based, and may be worked remotely for the foreseeable future. This the only Level 1 Trauma Center in the state of Oklahoma, and the major quaternary referral center in the state. You will be supporting three Medical Directors including the CMO of the facility, the Hospital Medical Director onsite, and the Emergency Medicine Medical Director at OU Edmonds.

The Administrative Assistant II role is to perform administrative support tasks that are secretarial in nature for an assigned Department Leadership or major functional group. The Assistant must be able to exercise professional judgment and confidentiality to complete the day-to-day tasks necessary to facilitate the duties required.

Essential Duties and Responsibilities:

  • Maintain the strictest of confidentiality;
  • Provide administrative support to department leadership, including typing, dictation, composing and proofreading correspondence, indexing, and filing documents;
  • Take minutes during meetings, type minutes and distribute as requested;
  • Assist with tracking invoices and ensure appropriate approvals are obtained;
  • Compose and type various styles of documents as well as form letters using programs within the Microsoft Office Suite;
  • Independently compose correspondence based on knowledge of policy and personal discretion;
  • Deal with a diverse group of important external callers and visitors, as well as internal contacts at all levels of the Company;
  • Coordinate information flow and inter-office communication, records, etc. Sorts incoming mail determining priority for handling;
  • Answer phones; refer callers/visitors to appropriate individuals;
  • Maintain calendars for assigned leadership, as required;
  • Maintain inventory of office supplies, business forms and letterhead and maintenance of equipment;
  • Schedule/coordinate meetings and appointments as well as travel (reservations airline, lodging, dining or ground transportation);
  • Work independently or within a designated team on special nonrecurring and ongoing projects as assigned by leadership;
  • Assist with requests from others with regard to the leadership you support;
  • Other duties as assigned.


Qualifications

Qualifications

  • Strong written, oral, and interpersonal communication skills;
  • Ability to effectively prioritize and execute tasks in a high-pressure environment;
  • Experience working both independently and in a team oriented, collaborative environment;
  • Able to work independently with limited supervision;
  • Set up to work remotely in a secure environment.

Education/Experience

  • Associate's Degree and five+ (5+) years' experience as described above; or equivalent combination of education and experience as previously detailed;
  • Experience in the healthcare industry is highly preferred.

Computer Skills

  • Microsoft Office Suite;
  • Proficient in internet research and use;
  • Other software and tools as needed.
