Job Summary

The Assistant Director of the Center for Veteran & Military Students advises current and prospective students and their families on the complexities of veteran education benefit options, explains payment procedures, and assists students in selecting and applying for the most advantageous VA, DoD, and state programs. This position also serves as the primary Veterans Affairs (VA) School Certifying Official responsible for reporting enrollment data to VA, DoD, and Indiana National Guard for all IU students receiving VA education and DoD benefits and ensures compliance with federal and state regulations governing VA benefit reporting and DoD Programs. The successful candidate will exhibit independent thinking in investigating potential benefit conflicts at Indiana University Bloomington and assures processes and procedures are in compliance with VA and DoD regulations for approximately 650 students annually.
  • Explains details of benefit programs as they relate to students' unique individual situations including conflicts and duplications between state and federal programs.
  • Instructs students on institutional financial and academic processes and procedures. Provides one-on-one guidance to students, parents, and others inquiring about benefits eligibility, academic requirements and veterans support, services, and resources.
  • Troubleshoots and addresses veteran/military benefit issues with the VA and/or IU systems.
  • Reviews and analyzes student data to include class schedule, degree applicability of courses, student financial account, financial aid, and transcript to determine correct data to report to VA and DoD. Coordinates with academic advisors, overseas study, bursar, and other offices to verify appropriateness of courses and charges prior to reporting.
  • Provides quality control and assurance on all VA/DoD/state processes and monitors changes to student enrollment and reports to VA and DoD when required. This position also maintains detailed understanding of complex federal regulations governing VA education benefits, all branches of DoD benefits, and Indiana National Guard benefits.
  • Develops office procedures and trains all staff on their implementation. Supervises one support staff, five VA work-study employees and IU temporary employees. Manages other CVMS programs in absence of the director. Provides administrative support to the director, Center for Veteran and Military Students, and contributes to the strategic vision and planning of the department.

Required Qualifications

Bachelor's degree in a related field and two years of experience that includes advising or working directly with students and/or military members in an academic setting such as enrollment services, admissions, financial aid, academic advising, or veterans services; business office experience; supervisory experience, especially in supervising student employees.

Combinations of education and related experience may be considered.

Knowledge of VA Once, GoArmyEd, DoD Memoranda of Understanding (Principles of Excellence), student records, and office management procedures. Knowledge of Microsoft Office Excel, Outlook, Word, and Power Point. Knowledge of IE and Payroll. Ability to effectively communicate and exchange information empathetically with students regarding complex and often emotionally charged issues. Knowledge of basic financial accounting. Understanding and familiarity with military culture, structure, and the experiences of the student population served by CVMS. Strong organizational and multitasking skills including ability to handle multiple priorities within widely varying electronic systems with extreme accuracy. Knowledge of IU academic structure and degrees offered, as well as administrative policies and procedures. Experience working with diverse populations, including individuals with disabilities. Ability to accurately interpret and implement complex and sometimes contradictory federal and state regulations. Ability to maintain strict confidentiality and data security.

Preferred Qualifications

Knowledge of IU systems (SIS, ONBASE, IUIE, EPIC, TIME, SCOPE, EDSCOPE, and FIS).
