Job Description

This is a hybrid position in Chicago, IL. This role requires in-office presence for specific responsibilities. The number of in-office days will vary week to week based on signing volume and document readiness, typically ranging from 3-4 days per week.


We are looking for a Real Estate and Operations Coordinator who is wired for precision - someone who catches what others miss, follows through without being asked, and takes real ownership of the work in front of them. This role exists because Evermore is growing, and protecting that growth requires someone who can own the operational and transactional work the firm runs on. Specifically, you will manage the full lifecycle of real estate files from contract to closing - coordinating with lenders, title companies, and opposing counsel to make sure every deadline is met and every document is tracked. At the same time, you will be the operational anchor for the estate planning side of the practice: preparing client binders, managing client follow-up, and keeping internal systems running cleanly.


This role directly frees our legal team to do legal work. That is what makes it high-impact.


Compensation- $55,000 - $65,000 yearly (plus generous PTO package and $350 monthly wellness stipend)

Responsibilities:

What You'll Be Responsible For

  • Flawless Real Estate Transaction Management: You will independently manage real estate files from contract to closing, coordinating with lenders, title companies, and opposing counsel to ensure every deadline is met and every document is tracked.
  • Proactive Communication Hub: You will be the primary point of contact for all parties in real estate transactions, preparing and sending clear, timely communications to keep everyone informed and engaged.
  • Systematic File Organization: You will maintain accurate and up-to-date file records in our practice management system for both real estate and estate planning, ensuring all documents are organized, complete, and easily accessible.
  • Streamlined Estate Planning Operations: You will prepare and scan client binders for estate planning signings, ensuring all materials are perfect and ready for clients.
  • Ownership of Client Follow-Up: You will take full ownership of the client homework follow-up process, ensuring clients complete necessary steps efficiently to keep their plans moving forward.
  • Operational Efficiency: You will maintain and optimize internal systems and task workflows, identifying opportunities to improve efficiency and ensure nothing falls through the cracks.
  • Exceptional Client Experience: You will contribute to a smooth, stress-free experience for all clients by ensuring all parties are informed, deadlines are met, and administrative tasks are handled with precision.
