Overview
Our client is an entertainment company seeking a full-time Executive Assistant to support their CEO. This role is part of a tight-knit executive support team and the Executive Assistant will report directly to the Chief of Staff, with a dotted line to the CEO.
This is a highly demanding, scheduling- and travel-intensive role. The CEO operates at a rapid pace across multiple ventures, high-profile partnerships, and constant meetings. The ideal candidate thrives in a high-volume, ever-shifting environment and views complex calendar management and travel logistics as their core craft - not an administrative afterthought.
This person must be detail-oriented, discreet, and emotionally intelligent, with strong awareness of pop culture, sports, business news, and emerging trends. The ability to read a room, communicate clearly, and operate with impeccable judgment is essential, as this role involves exposure to high-level partners and investors.
This is an in-person role based in Los Angeles.
Key Responsibilities
- Own and manage an extremely high-volume, constantly shifting calendar in partnership with the Chief of Staff and home-based team
- Prioritize meetings by strategic impact while aggressively protecting focus time
- Manage back-to-back scheduling across time zones with little margin for error
- Proactively anticipate conflicts before they occur and solve them without escalation
- Serve as a strong gatekeeper, filtering inbound requests and structuring the CEO's day for maximum efficiency
- Communicate continuously with internal and external stakeholders to coordinate availability and confirm logistics
This role requires someone who enjoys being "in the weeds" of scheduling and can handle daily pivots with calm precision.
Meeting Preparation & Follow-Through
- Build structured agendas and compile briefing materials to ensure the CEO is fully prepared
- Draft concise prep documents and face-sheet summaries for external introductions
- Coordinate with division and project leads to ensure materials are current and aligned
- Sit in on meetings (in-room or virtual) as requested to capture decisions, owners, and deadlines
- Send post-meeting follow-ups with clear action items and track execution to completion
- Draft high-priority communications (emails, updates, decks) in the CEO's tone with minimal edits required
Travel & Logistics (Extremely Travel-Heavy)
- Own all business and personal travel logistics - domestic and international
- Manage complex itineraries across commercial and private aviation
- Coordinate hotels, ground transportation, security, restaurant reservations, and on-the-ground movement
- Track travel changes in real time and proactively reroute when delays occur
- Prepare clear, comprehensive itineraries with backup plans
- Manage cross-functional coordination during travel (assistants, production teams, partners, venues)
This role requires someone who treats travel logistics as a strategic function-anticipating disruptions before they happen and executing seamless pivots under pressure.
Operations & Executive Support
- Partner closely with the Chief of Staff to track all CEO correspondence and priorities
- Conduct clear, efficient check-ins to surface scheduling conflicts and key updates
- Handle internal and external communications with discretion and polish
- Oversee and reconcile business expenses with timely, organized reporting
- Implement and maintain systems for tracking expenses and approvals
- Manage professional gifting and proactively track important milestones
- Support the planning and execution of business dinners, events, and gatherings
- Maintain strict confidentiality at all times
- Anticipate needs and remove friction so the CEO can operate at full capacity
Qualifications
- 5+ years in a high-volume Executive Assistant role supporting a C-suite leader
- Proven experience managing complex, high-stakes calendars and heavy travel coordination
- Exceptional discretion and emotional intelligence
- Strong ability to problem-solve quickly in high-pressure environments
- Comfortable collaborating across multiple stakeholders and executive support partners
- Deep familiarity with Los Angeles and surrounding areas
- Excellent written and verbal communication skills
- Highly organized, detail-obsessed, and proactive
- Advanced proficiency in Excel, Google Workspace, Asana, HubSpot, and AI platforms
- Valid driver's license and reliable transportation
- Entertainment, sports, start-up and/or hospitality industry experience required
