Project Coordinator - Residential Remodeling
Norfolk Kitchen and Bath MA Braintree, Massachusetts
Are you the sharp, process-driven professional who powers the engine behind renovation and remodeling projects? Norfolk Kitchen & Bath is seeking a Project Coordinator with strength in administration and experience embracing technology to manage multiple projects simultaneously. This role will support our remodeling construction group, so someone who knows their way around contracts, subcontractors, and project billing would be a good match. If you thrive in fast-paced environments, love being the go-to person who makes things happen and to keep projects and people moving forward seamlessly, this role is for you. As our Project Coordinator, you'll be the vital link between our design team, construction crews, vendors, and customers, ensuring every kitchen and bathroom remodeling project flows smoothly from contract to completion. You'll be responsible for reviewing contracts, managing subcontractor invoicing, and coordinating billing to keep our projects on track financially and operationally-from permits and scheduling to change orders and customer communication. We're looking for someone who brings proven high level project administration experience, doesn't just manage tasks but anticipates needs, and communicates with clarity and professionalism with both trade partners, internal teams and customers. If you're ready to be an essential part of a team that transforms homes and exceeds expectations, we want to hear from you. The Project Coordinator supports the construction team by managing the administrative, scheduling, and customer service functions necessary for the success of kitchen and bathroom remodeling projects. This position is central to keeping projects moving efficiently, ensuring proper communication between teams, processing change orders, and coordinating tasks between sales, operations, and clients. The ideal candidate is highly organized, communicates well with both clients and internal staff, and demonstrates follow-through in a fast-paced environment. The Project Coordinator will be responsible for: Administer contract generation, review, and execution in partnership with designers and estimators. Prepare, file, and track permit applications and required documentation. Create and maintain electronic and hard-copy job folders for assigned projects. Coordinate delivery and pickup of project materials with vendors and field staff. Receive and organize material and labor sales orders; verify forecast dates and align subcontractor assignments. Collect customer payments and change order balances once labor begins. Issue and track all change orders via DocuSign and ensure POS and invoicing are complete. Receive and verify subcontractor invoices, submit to accounting, and notify PM of any cost discrepancies. Manage CRM entries, status changes, scheduling adjustments, and documentation in Buildertrend. Serve as a point of contact for service calls and warranty issues in coordination with PM. Send customer close-out packages, warranty letters, and satisfaction surveys upon job completion. Support "hang only" installation project execution as directed by Project Manager or Regional Construction Manager. Monitor all construction schedules in Buildertrend and coordinate with PMs to ensure an even project closeout flow that supports consistent weekly invoicing. Receive weekly subcontractor invoices, verify accuracy against scope and delivery, and ensure timely entry of costs into the POS system to support consistent and accurate billing. Monitor construction schedules and coordinate with PMs to maintain an even project closeout flow, enabling steady weekly invoicing and payment scheduling. The Project Coordinator will have: Strong organizational skills and ability to manage multiple administrative tasks across projects. Excellent time management and ability to meet overlapping deadlines. Proficiency with Buildertrend, Microsoft Office Suite, and DocuSign. Exceptional written and verbal communication skills with clients and coworkers. Strong attention to detail and accuracy in documentation and data entry. Ability to work collaboratively across departments with minimal supervision. Demonstrated ability to follow through on issues, solve problems, and support field operations. Norfolk Kitchen & Bath is a division of The Norfolk Companies based in Braintree, MA. We are family-owned and in our 91st year of operation. We believe in our employees taking ownership through hard work with a high level of customer focus and a team player. We offer a competitive benefits package as well as compensation. More about Norfolk Norfolk's story began in 1934 when Ben & Lena Rosen founded a small plumbing supply company on Norfolk Street in Boston. As demand grew, so did our business-evolving into Norfolk Hardware & Home Center, a trusted community destination for plumbing supplies, paint, hardware, flooring, cabinetry, and more. Today, Norfolk Hardware & Home Center operates out of a 40,000-square-foot building on the corner of Gallivan Boulevard and remains an active member of the Mattapan community. Rapid growth in our kitchen and bath department led to the creation of Norfolk Kitchen & Bath, now one of New England's largest and fastest-growing kitchen and bath retailers. With six showrooms across Greater Boston and Southern New Hampshire (Boston, Braintree, Framingham, Manchester, Nashua, and Salem), we provide expert design and remodeling services, while also supplying builders, remodelers, and interior designers with high-quality materials for their projects. To better serve the multifamily housing industry, we launched Norfolk Multifamily Cabinets & Countertops in 2022 as a dedicated division. Previously operating under The Norfolk Companies name, our multifamily team works with general contractors, property managers, and housing authorities across New England and beyond. We supply cabinetry, countertops, and essential property management materials, delivering exceptional quality at competitive prices through responsible product sourcing and in-house manufacturing-including our own laminate countertop shop, established in 2003. We also offer turnkey installation and on site project management. In 2024, we expanded our commitment to local manufacturing by acquiring Rosario Cabinets Incorporated, a premier frameless cabinetry manufacturer. Now exclusively distributed by Norfolk, Rosario Cabinets enhances our offerings for both retail and multifamily projects. Still family-owned and operated by the Rosen family, Norfolk has grown to over 200 employees and continues to expand. We take pride in attracting and retaining top industry talent while staying true to our roots-our community, our employees, and our customers. No matter how much we grow, we remain committed to our mantra: "Big enough to serve you, small enough to know you." PM19 Compensation details: 25-30 Hourly Wage PI-8912
