Job Description Summary / TWC Summary:

Job Summary:The Dispatcher/Scheduler plays a critical role in the daily operation of the university's aviation program by coordinating and scheduling aircraft, flight Instructors, and student pilots. This position ensures the safe and efficient use of flight and simulation resources in accordance with university policies and FAA regulations. The Dispatcher/Scheduler acts as the central communication point between flight students, Instructors, maintenance personnel, and the Chief Pilot.

Essential Duties Summary:

  • Schedule flight lessons, aircraft, simulators, and Instructors using scheduling software (e,g Flight Schedule Pro or equivalent)
  • Monitor flight operations and maintain situational awareness of all aircraft and flight
  • activities
  • Provide weather briefings, NOTAMs, and safety updates to pilots and Instructors as needed
  • Coordinate with the maintenance team to ensure aircraft availability and record aircraft
  • squawks or grounding events
  • Track student progression, cancellations, and no-show patterns to optimize scheduling efficiency
  • Manage dispatch and recovery of all flights Including flight logbooks, weight & balance,
  • and flight risk assessments
  • Serve as the primary contact for students and instructors regarding scheduling conflicts, rescheduling, and flight status
  • Maintain daily flight records, Including aircraft usage, fuel logs, and flight times
  • Monitor local and airfield conditions that may affect flight operations and recommend delays or cancellations as appropriate
  • Support FAA compliance efforts by maintaining and archiving accurate flight records
  • Assist with emergency response procedures when needed.
  • Provide excellent customer service in a fast-paced training environment.

$74,879.81-$95,471.75

Education:

Required:
High school diploma or equivalent.

Preferred:
Associate's or bachelor's degree in Aviation Management or related field.

Required Licensing/Certification:

Required:

Preferred:

  • FM Dispatcher certificate, Private PIiot Certificate, or aviation background.
Knowledge, Skills, and Abilities:

Knowledge of:

  • Requires full/complete knowledge In multiple disciplines and serves as an ultimate subject matter expert In at least one discipline or function. Demonstrates full command of technical and functional principles, procedures, and subject matter In multiple disciplines to handle any situation and lead or train others. Requires the ability to lead the development or modification of work procedures across multiple disciplines.

Work Experience:

Required:

  • Prior dispatch, scheduling, or aviation operations experience.
  • Familiarity with FM regulations (Part 61and/or Part 141)
  • Proficient in Microsoft Office and scheduling software


Preferred:
  • Experience in a collegiate or flight training environment.
  • Knowledge of weather Interpretation and aviation risk management practices.
Working/Environmental Conditions:

  • Office-based at the university's flight operations center or airport campus.
  • Requires extended periods of computer use and frequent communication via radio and phone.
  • May require working in variable weather conditions to support flight line operations.
  • Must be able to multi-task in a high-tempo training environment.
