POSITION SUMMARY: The Young Adult Service Client Financial Coordinator is responsible for processing and monitoring fund requests, generating daily, weekly and monthly annual requests/reports for funds either Social Security or DMHAS Client Support Fund dollars, and providing superior customer service under the Department of Mental Health and Addictive Services (DMHAS). This position staffs DMHAS funded State Operated facility and works closely with the YAS clinical team fulfilling the fiduciary obligations for the clients. The position involves both financial services and Case management services to a population of Young adults ages 18-25. Along with teaching these clients budgeting skills. This position will represent ABH and its services in a positive and professional manner and adhere to ABH 's best practices, guidelines, policies and procedures as established, promoting ABH as a leader in behavioral healthcare in all interactions and work. DUTIES AND RESPONSIBILITIES: Provide direct services to clients referred for assistance in the management of their funds, including assessment of money management needs, supportive contact to develop and revise budgets, problem solving around financial conflicts and the disbursement of funds. Input requests into the YAS system based upon the approved budget with detailed item requests and any attached documentation. Provide direct services to clients referred for assistance in the management of their funds, including assessment of money management needs, supportive contact to develop and revise budgets, problem solving around financial conflicts and the disbursement of funds. Act as the day-to-day liaison between the Financial Unit, Treatment team, Vendors, and the ABH Finance Department. Communicate with the Treatment team on why a request cannot be processed, i.e. lacking documentation, other pending disbursements scheduled, etc. Communicate with the Treatment team on any receipts, invoices, or other documentation. Communicate with the Treatment team concerning changes to the client's information, i.e., rent changes, location changes. Communicate with the Treatment team and ABH Finance Department concerning special or emergency requests. Communicate with Vendors regarding any checks that have not cleared within 30 days from the disbursement date. Handle Vendor inquiries. Input additional documentation pertaining to requests received after a disbursement is made, and including client receipt of funds signatures. Receive checks/cash distributions from ABH Finance and distribute to the Treatment team or the client for delivery. Begin processing the workflow of requests received by the DMHAS YAS Treatment team. Check each request for completeness and confirm adequate client support fund account balances prior to further processing. Obtain client/DMHAS Staff receipt signatures at the time of distribution of checks/cash to the clients or YAS Case Managers. Make distributions to the appropriate client/DMHAS staff which is generally done while on-site at the State Operated facility and ensure that client/staff signatures and dates are on the documents and receipts are collected in a timely manner. EDUCATION AND EXPERIENCE REQUIREMENTS: Bachelor's degree in social service field preferred, or related field or a combination of related education and work experience; Experience with Behavioral Health consumer population a must; Must have basic/intermediate accounting/budgeting experience; preferably through work experience or college KNOWLEDGE/SKILLS/ABILITIES: Ability to work independently as well as in a team environment, have superior organizational skills and demonstrated experience in communicating at all levels; Demonstrated proficiency with computers; intermediate skills in MS Word and Excel; Ability to teach basic budgeting skills to YAS clients Ability to work with Clinical staff in a fast paced clinical environment Ability to work closely with the YAS Housing Coordinator Possess strong communication skills (both verbal and written) and motivational skills; Proven ability to develop and sustain a high level of customer satisfaction; Proven ability to work on multiple projects simultaneously and multi task as necessary to meet deadline; Detail oriented a must; Ability to work well with all levels of staff and guests; Ability to identify problems/issues, troubleshoot and resolve in a timely manner. This position works with various landlords and real estate agencies in the Waterbury area to find affordable rents. The position will work with the YAS Financial Coordinator and YAS clinical staff in a coordinated effort for the best interest of the YAS client. The position will also work with the client in applying for housing and utility assistance programs in the Waterbury area. This position will represent ABH and its services in a positive and professional manner and adhere to ABH 's best practices, guidelines, policies and procedures as established, promoting ABH as a leader in behavioral healthcare in all interactions and work. DUTIES AND RESPONSIBILITIES: Provide housing coordination services which will enable YAS clients to move from a structured residential placement to living independently within the community. Provide services in the general area of the LMHA and other areas requested by the various LMHA Project Managers and approved by the contractor. Work with landlords and real estate agents to develop and maintain a list of landlords with available apartments. Be involved with securing and negotiating any and all leases entered into by clients. Ensure that lease agreements adhere to the policies and procedures outlined in the DMHAS YAS Client Support Funds Services manual. Provide a copy of each fully executed lease to the various LMHA Project Managers. Maintain a list of Residential Support Sites and Scattered Site Housing vacancies. Oversee and execute all inspections outlined in the YAS Client Support Funds Services policies and procedures manual. Handle all damage claims, inspections, and determinations required to resolve them including, but not limited to, working with the YAS treatment team to have the client involved when or if necessary. Coordinate and communicate with the YAS treatment team of any pending evictions or possible vacancies. Oversee and coordinate any infestations by assuring that the landlord treats the infestation within the timeframe specified by the various LMHA Project Managers. As AmeriCorps volunteers, members earn a living stipend and a Segal Education award. Under the direction of the Program Director, the Volunteer and Partnership Development Coordinator will be responsible for developing and strengthening community partnerships, including identifying partnerships for potential service projects and service learning initiatives. The position will provide the opportunity for the right person to implement the volunteer program, enabling the Heart of Oregon Corps to better serve low-income young people and community residents.Member Duties : Recruit volunteers through networking; presentations to faith, business, and/or community groups; staffing booths at community events; and utilizing the media. Screen volunteers through interviews, reference checks, and criminal background checks. Develop and facilitate orientation and training for volunteers.
