Job Description: Under general supervision of the Transportation Manager, this role will maintain DOT and other legally required records for the transportation and truck maintenance operations, and for drivers' files. This position will also assist in the dispatching of our drivers for material deliveries, perform administrative duties such as writing work orders, preparing payroll and mileage records and reports, and maintaining JJ Keller or similar DOT database for drivers' records and logs. Job Description: Under general supervision of the Transportation Manager, this role will maintain DOT and other legally required records for the transportation and truck maintenance operations, and for drivers' files. This position will also assist in the dispatching of our drivers for material deliveries, perform administrative duties such as writing work orders, preparing payroll and mileage records and reports, and maintaining JJ Keller or similar DOT database for drivers' records and logs. This role will also prepare reports that highlight non-compliance with regulatory requirements for Management. The administrator will be required to sometime take tractors to the fueling stations to top off tractors with fuel. Responsibilities: Maintain DOT and other legally required records for the transportation and truck maintenance operations, and for drivers' files, including maintaining databases and records of drivers' logs. Audit drivers' equipment inspection forms, write work orders, and maintain work order records and files. Prepare payroll records and reports, as well as mileage, trip and equipment reports. Perform administrative duties such as, preparing paperwork for drivers, preparing reports, maintaining department files and records, work orders, answering phones. Assist with the dispatching of drivers for client deliveries to meet client demand. Maintain daily communications with drivers, the dispatch service to coordinate loading and delivery activities to meet customer needs. Assist the Manager with special projects and complete special assignments. Comply with the Employee Handbook policies and guidelines. Work cooperatively in a team with co-workers to continuously improve departmental effectiveness and efficiencies. Participate in job and safety training as scheduled by the company. Display an attitude of helpfulness and cooperation to all contacts inside and outside the company. Perform other duties as assigned. Hiring and communicating with new drivers Experience: Basic knowledge of DOT and FMCSA requirements for Drivers Qualifications, Drivers Hours, Equipment Maintenance, and ELD requirements highly preferred. Experience in effectively maintaining DOT log records and other legally required records highly preferred. Must have minimum of 2 years of experience in an administrative support role with responsibility for maintaining regulatory compliance records, or for a high level company official, where a high degree of accuracy and attention to detail in completing records and reports was essential to job success. Strong skills in Excel and Word at an Intermediate level; strong email and other written communications skills. Experience with transportation software data entry preferred, along with ability to run reports in software such as JJ Keller. Experience in dispatching over the road drivers for product deliveries preferred. High accuracy and attention to detail in maintaining records and reports to meet compliance requirements. Strong customer service attitude of helpfulness and cooperation. Competencies in math skills including addition, subtraction, multiplication, and division. Professional attitude and appearance. Satisfactory driving record. Availability and willingness to handle work-related duties after hours and on weekends as needed. Bonuses could exceed $1,000, weekly.
