Summary: Provide professional and courteous administrative support to both internal and external customers. PRIMARY DUTIES AND RESPONSIBILITIES Answer telephone, disseminate information or resolve questions, and/or route calls to appropriate individual. Take messages and coordinate follow through. Receive, sort and distribute the mail Carry out administrative duties such as filing, typing, copying, binding, scanning etc. (i.e. Apprentice hours, phone listing, safety paperwork, time cards, application packets) Prepare and modify documents including correspondence, reports, drafts, memos and emails. Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies. Request, track, and scan insurance certificates for vendors and subcontractors Prepare panel schedules as directed by the Project Management Department. Generate, track and scan Master Subcontractor Agreements to ensure compliance with company policy. Resolves administrative problems by preparing reports, analyzing data, and identifying solutions. Ability to research, provide information and materials and work on special projects as assigned. Fill in for other Assistants when needed. Qualifications: High school diploma or general education degree (GED) Must have at least 2 years' experience/knowledge of administrative support Must demonstrate flexibility when work assignments and priorities change.
